What a good flooring invoice includes
- Your business name and contact details — and the client's.
- An invoice number, issue date, and a clear due date.
- Line items that match what was quoted and what was actually done.
- Subtotal, tax (at your local rate), and the balance due.
- How to pay you: methods you accept and any late-payment terms.
- Bill actual installed square footage per room and reconcile against the estimate; if subfloor issues found after tear-out added leveling or plywood, list those as separate documented extras with a brief reason.
- Note the actual material installed — species/product, color, lot or batch numbers — so future repairs or warranty claims can match the same run.
- Itemize any approved change orders separately (e.g., added rooms, upgraded underlayment, stair work) and reference the date the customer approved them.
- Show the manufacturer warranty on materials versus your workmanship warranty on the install, and state acclimation was completed if applicable.
- Record deposit and material draw already paid, apply them, and show the remaining balance; note any held retainage pending final trim or threshold completion.
