What a good cleaning invoice includes
- Your business name and contact details — and the client's.
- An invoice number, issue date, and a clear due date.
- Line items that match what was quoted and what was actually done.
- Subtotal, tax (at your local rate), and the balance due.
- How to pay you: methods you accept and any late-payment terms.
- List the exact visit date(s) this invoice covers; for recurring clients, bill a clear period (e.g. 'two bi-weekly visits, June 3 & June 17') so it's obvious which cleans are being charged.
- Keep the recurring service line separate from one-off extras: bill the standard visit at its agreed rate, then add a distinct line for any deep-clean or add-on tasks done that day (inside fridge, interior windows, post-party reset).
- Note supplies and special products on their own line when they aren't bundled into the visit rate, so the client sees what's service versus materials.
- For recurring clients, charge the card-on-file or run auto-pay on the visit date and mark the invoice paid; for one-off jobs, state due-on-receipt terms and accepted payment methods.
- Flag any access issue that affected the visit (lockout fee, couldn't reach a room, alarm not disarmed) on the invoice so a short or skipped clean is documented rather than silently disputed later.
