What a good cleaning estimate includes
- Your business name and contact details — and the client's.
- An estimate number and date, plus how long the price is valid.
- Line items with a clear description, quantity, unit price, and amount.
- Subtotal, tax (at your local rate), and the total — no surprises later.
- Notes and terms: what's included, what's excluded, deposit and payment terms.
- State the frequency plainly (weekly, bi-weekly, monthly, or one-time) and price accordingly: recurring visits usually carry a lower per-visit rate than a single one-off because of route efficiency and built-up familiarity.
- Spell out exactly what a standard visit covers room by room (e.g. kitchen counters and exterior of appliances, bathrooms, dusting reachable surfaces, vacuum and mop floors) so 'we cleaned the whole house' never becomes a dispute.
- List deep-clean and add-on tasks as separate priced lines (inside oven, inside fridge, interior windows, baseboards, blinds, inside cabinets) since these aren't part of a routine maintenance visit.
- Say who supplies products and equipment: note whether your per-visit price includes supplies and a vacuum, or whether the client provides them, and flag any specialty products (eco-friendly, disinfectant) as an add-on.
- Confirm access up front — keys, lockbox code, alarm code, or someone home — and note any lockout, pet, or parking conditions, plus your cancellation window, so a no-access trip doesn't cost you an unbilled visit.
