What a good real estate invoice includes
- Your business name and contact details — and the client's.
- An invoice number, issue date, and a clear due date.
- Line items that match what was quoted and what was actually done.
- Subtotal, tax (at your local rate), and the balance due.
- How to pay you: methods you accept and any late-payment terms.
- Reference the specific transaction: property address, MLS number, and closing date so the invoice reconciles against the settlement statement and the client's file.
- Separate commission already disbursed at closing (shown for the record) from fees and reimbursables you are actually collecting on this invoice, so the client isn't double-charged.
- Itemize each reimbursable that was actually spent with the vendor receipt attached — photographer invoice, stager's final bill, sign installation, printing — and bill at cost unless your agreement allows a markup.
- Spell out payment terms and method (due on receipt, or netted from proceeds at closing) and note your brokerage trust/escrow handling so the client knows where deposits and reimbursements flowed.
- Show GST/HST or applicable sales tax on the service and marketing fees where required, and keep commission tax handling separate since it's typically remitted through the brokerage.
