An HVAC estimate splits into two very different jobs: a flat-rate service or repair, and a system install or replacement. For installs, price the equipment and the labour as separate lines, state the efficiency and capacity you're quoting, and make the scope around the box — ductwork, line set, electrical, permits, disposal of the old unit — explicit, because that surrounding work is where install quotes diverge.

What a good hvac estimate includes

  • Your business name and contact details — and the client's.
  • An estimate number and date, plus how long the price is valid.
  • Line items with a clear description, quantity, unit price, and amount.
  • Subtotal, tax (at your local rate), and the total — no surprises later.
  • Notes and terms: what's included, what's excluded, deposit and payment terms.
  • For installs, list equipment and labour separately and state the system you're quoting — type, efficiency rating, and capacity — so a customer comparing bids is comparing like for like.
  • Itemize the work around the equipment: ductwork modifications, line set, refrigerant, electrical and breaker, thermostat, condensate, permits, and disposal of the old unit.
  • For service and repair, use clear flat-rate or diagnostic pricing and state the diagnostic fee and whether it applies to the repair if approved.
  • Note manufacturer rebates, available financing, and any utility incentives as separate considerations, and state what the install warranty covers versus the manufacturer's parts warranty.
  • State assumptions and exclusions — existing ductwork condition, electrical capacity, asbestos or code upgrades found on older systems — and price those as separate items if encountered.
